How to choose inventory software for an Indian SMB
A practical, no-nonsense checklist for picking inventory software that fits how your business actually runs — GST, multi-location, and vertical depth included.
Picking inventory software is less about feature checklists and more about fit. Here is how to choose without regret. If you are still deciding whether you need to move at all, start with when the spreadsheet stops paying.
Start with your actual workflow
Map a real day: receiving stock, raising a sale, recording a payment, reconciling at close. The right tool removes steps you do today — it does not add new ones.
Non-negotiables for India
- GST done right — correct slabs, CGST/SGST vs IGST by place of supply, and clean returns. Check the bill it prints against what a GST invoice must contain before you sign anything.
- Multi-location — even one extra storeroom changes how stock and stock transfers work.
- Offline tolerance — the warehouse floor rarely has reliable signal.
Does it know your industry?
A generic core is fine for most trading businesses. But pharma needs a batch number and an expiry date on every receipt, food needs shelf-life and recipes, jewellery needs piece-level weight and metal rates. Ask whether the software goes deep where you need it.
Total cost, honestly
Look past the sticker price: onboarding effort, data migration, training, and the cost of the features you will switch on as you grow.
The 15-minute test
If you cannot set up your catalogue and run your first sale in an afternoon, the tool is working against you. Try before you commit.
FAQ
Do I need GST-ready software, or can my accountant manage it? Your accountant files the returns, but the invoice leaves your counter. If the software prints the wrong tax split — CGST and SGST where IGST was due — every correction is manual later. Check the printed bill and the return summary before you buy, not after your first quarter.
How much data should I migrate from my old system? Bring your item list, opening stock, customers and suppliers, and the outstanding balances. Old transaction history rarely earns the effort — keep the previous system's exports as a file for reference. A clean, small opening set gets you live in days instead of arguing over years of records.
Cloud or a desktop program, if my shop internet is unreliable? Cloud, provided it keeps working when the signal drops and syncs when it returns. A desktop program ties your data to one machine and one backup you probably do not take. Ask for a demo on a phone with mobile data, in the godown, not in the showroom.
How long should switching take? Plan a week, not a quarter. Set up your catalogue and opening stock in an afternoon, run both systems side by side for a few days of real billing, then stop the old one. If setup alone drags past two weeks, the tool is a poor fit — say so early.
